The most common envelope addressing mistakes are a missing apartment number, a wrong ZIP code, a misspelled street name, a missing direction like N or SW, a dark or neon envelope, script fonts, punctuation in the address, PMB used in place of PO Box, no return address, and writing in the bottom strip where the barcode goes. Each one pulls your letter off the machine and sends it to a person, which adds days.

Your letter probably never gets looked at by a person. It goes through a machine that photographs the front, reads the address, and sprays a barcode along the bottom. That machine handles about ten letters a second, and it either reads your envelope or it does not.
When it cannot read one, the letter gets pushed into a separate bin for a person to sort by hand. That is where the delays come from, and it is where returned mail starts.
Every mistake below is really the same mistake wearing a different coat. Something on the envelope made the machine guess. Here is what each one does, and what to write instead.
The scanner itself is calibrated around a handful of specific things: where the address sits on the envelope face, how tall the letters are, how clean the font is, and whether anything else is competing for space in the zone it reads. Every mistake on this page trips one of those four things. A missing apartment number does not confuse the scanner about position or font, it just leaves out a piece of the address the sorter needs downstream, past the machine, at the point a human carrier has to pick a mailbox. A script font or a low-contrast envelope confuses the scanner directly, at the read step itself, before the address is even fully captured. Knowing which stage a mistake breaks is not just trivia. It is the difference between a letter that gets kicked to a person and handled in a day, and one that gets marked undeliverable and comes back to you in two weeks.
The mistakes, one at a time
The apartment or unit number is missing
- What the scanner reads
- A valid street address with no unit. The machine sorts it fine.
- What happens
- The letter reaches the building. The carrier has 40 mailboxes and no way to pick one, so it goes back marked undeliverable. This is the single most common reason mail comes back.
- The fix
- Put the unit on the same line as the street, at the end. Use the short USPS form. APT, not Apartment and not the pound sign.
The ZIP code is wrong
- What the scanner reads
- The five digits, and nothing else. The ZIP outranks the city name.
- What happens
- The sorter trusts the ZIP over everything else on the envelope. A wrong one sends the letter to the wrong regional plant, sometimes across the country. It may get fixed and forwarded, or it may come back weeks later.
- The fix
- Look the address up on the USPS ZIP Code tool before you mail to any address you have not used before. It takes about ten seconds and it also gives you the extra four digits.
The street name is spelled wrong
- What the scanner reads
- PINEGROVE RD, which does not match anything in the address file.
- What happens
- The scanner tries a close match. It will quietly fix BOADWAY to BROADWAY in a town that has a Broadway. It will not join or split words for you. That letter gets kicked to a person or comes back.
- The fix
- Spell the street the way the Postal Service has it on file, including spaces. The same ZIP lookup tool shows you the standard spelling.
The direction letter is left off
- What the scanner reads
- A street name with no direction, in a town that has four of them.
- What happens
- In a lot of cities, 123 N Main St and 123 S Main St are two different houses on opposite sides of town. With no N or S the machine cannot pick, so the letter goes to a person or to the wrong door.
- The fix
- Copy the direction letters exactly, both before the street name and after it. N MAIN ST NW is three separate pieces of information and all three matter.
The envelope is dark, neon or glossy
- What the scanner reads
- Low or inverted contrast where letters should be. The imaging step that normally separates ink from paper has nothing reliable to grab onto.
- What happens
- The scanner needs dark ink on a light background to read anything. A black, deep red or neon envelope reads as a blank. So does gloss, which throws back the light. The letter comes off the belt and gets handled by hand, which is slower and can cost more.
- The fix
- If you want a colored envelope, keep it pale, keep the finish matte, and write in black or dark blue. For a dark envelope, print the address on a white label and stick it on.
The address is written in a script font
- What the scanner reads
- A string of connected shapes instead of separate letters. The character-recognition step is trained on gaps between letters, and a script font removes exactly that.
- What happens
- Scanners are trained on plain block text. Loops, joined letters and thin strokes come back as garbage, so the piece gets pulled for a person to read. On a big holiday mailing that is days of delay.
- The fix
- Use the fancy font anywhere else on the envelope you like. Keep the delivery address in a plain font like Arial or Helvetica, or hand print it in clear capitals.
There is punctuation in the address block
- What the scanner reads
- A line full of extra characters, plus a state abbreviation that is not the two letter code.
- What happens
- It usually still gets there, but it drops the odds. Every stray mark is a chance for a misread, and Colo. is not a code the system uses.
- The fix
- Drop all commas and periods. Use capitals, the two letter state code, and one space between parts.
PMB is used where PO BOX belongs
- What the scanner reads
- A designator, PMB, that does not correspond to any USPS box record at that ZIP code, since PMB numbers live in a private company database USPS cannot see.
- What happens
- PMB is a private mailbox at a place like a UPS Store. PO Box is a real Postal Service box. Put PMB on a Postal Service box and the numbers do not match anything, so the letter is returned.
- The fix
- Ask the person which one they have. If it is a post office box, the line reads PO BOX 4120 with nothing else on it.
There is no return address
- What the scanner reads
- Nothing to fall back on. The scanner has no return-address field to check because there is nothing written there at all.
- What happens
- If the letter cannot be delivered and has no return address, it does not come back to you. It goes to the Mail Recovery Center in Atlanta, and that is usually the end of it.
- The fix
- Put a return address in the top left corner every time. The Postal Service does not require it, but it is the only thing that gets your letter back.
Something is written in the bottom strip
- What the scanner reads
- Interference in the exact zone reserved for the barcode the machine prints on the envelope itself, not the address at all.
- What happens
- The bottom 5/8 inch on the right side of the envelope is where the sorting machine prints its own barcode. A drawn border, a low line of writing or a sticker there can corrupt that barcode and send the letter to the wrong plant.
- The fix
- Keep the bottom 5/8 inch clear all the way across the right side. Nothing there at all.

Special cases
The rule above covers most people. Here is what changes for the rest.
What about window envelopes, does the address have to line up exactly?
Yes, more strictly than people expect. The scanner needs the full address visible through the window with roughly an eighth of an inch of clearance on every side. An address that shifts even slightly when the letter is folded, so a line gets clipped by the window edge, reads to the machine as an incomplete address, the same as if you had left a line off entirely. Fold the letter first, then check that the whole delivery block sits inside the window before sealing.
What do the stamps on my returned mail actually mean?
USPS marks returned mail with a short reason. "Insufficient Address" means a required piece, usually the apartment number or ZIP, was missing or unreadable. "No Such Number" means the street number does not exist on that street in that city. "Attempted Not Known" means the carrier tried the address but nobody by that name receives mail there. Each one points at a different fix: insufficient address means check what you left off, no such number means check the street number itself, and attempted not known means check the recipient name or confirm they still live there.
Is a suite number handled differently than an apartment number?
No, the placement rule is identical, even though the words are different. STE (suite) belongs at the end of the street line exactly the way APT does, because the scanner treats them as the same kind of information: a secondary unit identifier attached to a single street address. Businesses tend to use STE, residences tend to use APT, but the formatting rule does not care which word you use.
Does handwriting quality matter as much as font choice on a typed envelope?
It matters more, not less, because the scanner has no consistent shape to learn the way it does with a printed font. Neat block capitals, spaced evenly and sized consistently, read almost as reliably as print. Rushed handwriting with letters that touch or lean does not, even if every rule on this page is otherwise followed. If your handwriting is not consistently neat, a printed label removes the variable entirely.
